When you submit an enquiry through our website contact form, we collect:

• Your name
• Your work email address
• Your company name (optional)
• Your country or region
• The service area and engagement model you selected
• Any message content you provide

We do not collect payment information, passport or identity documents, or any sensitive personal data through our website.

We may also collect standard technical data through analytics tools (page views, browser type, approximate location) if analytics is enabled. This data is aggregated and not linked to your identity.

3. Why we collect it (lawful basis)

We process your personal data under the following lawful bases:

• Legitimate interests — to respond to your enquiry and assess whether we can help your business. We have a legitimate interest in communicating with prospective clients.

Form submissions are processed through Formspree, a third-party form handling service. Formspree stores form data on servers in the United States and is GDPR-compliant. You can review their privacy policy at formspree.io.

Email is handled via Google Workspace. Google's data processing terms apply.

6. Data retention

We retain enquiry data for as long as necessary to respond to and manage the business relationship:

• Enquiries that do not lead to a contract: up to 12 months
• Enquiries that lead to a client engagement: retained for the duration of the engagement plus 5 years for legal and accounting purposes

You may request deletion at any time (see Your Rights below).

7. International data transfers

NexelGrid is based in India. If you are located in the UK or European Union, your personal data will be transferred to and processed in India. India is not currently recognised by the EU as providing an adequate level of data protection under GDPR.

We ensure appropriate safeguards are in place for such transfers, including standard contractual clauses where applicable. By submitting an enquiry, you acknowledge this transfer.

We do not use advertising cookies, tracking pixels, or remarketing tools. We do not use cookies for personalisation.

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. Our website is served over HTTPS. Email communications are handled via Google Workspace, which provides enterprise-grade security.
